Draft — attorney review required

This plain-language draft describes how Board Room actually works today. It must be reviewed by a qualified attorney before any paid launch, and it is separate from the Optim 3D-printing store policies.

01 / License

Your license to use Board Room

Optim grants you a personal, non-exclusive, non-transferable license to install and use the Optim Board Room application on Windows computers you control. You may not resell, redistribute, or reverse-engineer the application except where law permits. Optim owns the application; you own your prompts, meeting content, and files, subject to the terms of the AI providers you connect.

02 / Who may use it

18 and over

Board Room is offered as an 18-and-over service. Optim does not knowingly collect information from children under 13. If a future release adopts a different age policy, it will be made only after child-privacy compliance review.

03 / Your provider accounts

You bring the AI

AI members are powered by third-party providers (OpenAI, Anthropic, Google, xAI, and others) through your API keys or memberships. You are responsible for those accounts, their fees, and complying with each provider's terms. Optim is not sponsored by or affiliated with these providers, and no Optim plan ever includes provider charges. Membership (website) connections automate the provider's own site and can stop working when a provider changes it; no specific provider connection is guaranteed to always work.

04 / AI output

Review before you rely

AI responses can be wrong, incomplete, or unsafe to execute. Review AI output — especially generated code or files — before acting on it or running it. Board Room is not a substitute for professional advice.

05 / Software updates

Updates and supported versions

Board Room checks Optim's website over HTTPS for update information and tells you when a new version exists; installing it is your choice via the official download page. Old versions may lose compatibility with providers; the app will say so rather than fail silently where it can.

06 / Free and paid plans

Plans and limits

The current release is free. If paid plans launch, free-plan limits (such as two AI members per meeting and a displayed usage cap) and paid fair-use allowances will be stated clearly at purchase time, and the Subscription Policy will govern billing, renewal, cancellation, and refunds.

07 / Suspension & termination

Ending use

You can stop using Board Room at any time and uninstall it; your local data stays on your machine until you delete it. Optim may suspend future account-based services for violations of these terms or the Acceptable Use Policy.

08 / Warranty & liability

Provided “as is” — needs attorney language

The application is provided “as is”, without warranties, and Optim's liability is limited to the maximum extent permitted by law. [ATTORNEY REVIEW REQUIRED: final warranty disclaimer, limitation of liability, governing law, and dispute-resolution provisions. No arbitration or class-action-waiver clause has been added in this draft.]
