What connecting an AI really means.

This plain-language draft describes how Board Room actually works today. It must be reviewed by a qualified attorney before any paid launch, and it is separate from the Optim 3D-printing store policies.

01 / Independence

Board Room is an Optim product

Board Room is built by Optim. It is not sponsored, endorsed, or officially integrated by OpenAI, Anthropic, Google, xAI, DeepSeek, Mistral, Perplexity, Moonshot, or any other AI provider. Provider names appear only to identify the services you choose to connect.

02 / What providers receive

Prompts, context, and what you attach

When a provider's AI member replies, that provider receives your message, relevant meeting history, project notes you wrote, and the member's briefing — processed under that provider's own terms and privacy policy, on your account. Choose your seats accordingly: a member not in the meeting receives nothing.

03 / API vs. membership

Two ways to connect

API keys are the reliable path: your key is stored encrypted on your PC and requests go straight to the provider's API (API usage is billed by the provider). Membership mode (Beta) signs in to the provider's own website inside the app and relays messages through it. Providers change their sites without notice, so membership connectors can temporarily break, and automated use of a chat website may not be permitted by a provider's terms — that risk is yours.

04 / Costs

Provider costs are always yours

Optim never bills you for provider usage, and no current or future Optim plan includes provider API charges or memberships. Watch your provider dashboards for usage-based costs, especially with many seats or long meetings.

05 / Accuracy

AI can be wrong

Every AI in the room can produce inaccurate, outdated, or biased answers — including confident-sounding ones. Review responses before important use, and inspect any generated code or files before opening or executing them.
